How do I change directors on a company account?

To update the director on a company account, you first need to ensure ASIC has been notified of the change. Then you’ll need to upload the following documents via Request Centre:

  1. An ASIC extract that confirms the new director/s for the company. You can contact ASIC for a copy of the ASIC extract.
  2. A completed Individual Third Party Authority form
  3. A certified copy of ID of the new director (e.g. Australian driver’s license or passport)
  4. A completed Macquarie Individual and Sole Traders Identification form for the new director
  5. If the beneficial owners have changed, we’ll also require a completed Beneficial Owner Identification form

How do I add a new trustee?

The requirements to add a new trustee depend on whether the new trustee is:

Individual trustee

To add an individual trustee, or to change from a corporate to an individual trustee, you need to provide all of the following documents via Request Centre:

  1. A certified copy of the amended Trust Deed that confirms the change in trustees and is executed by all of the new and resigning trustees
  2. A completed Individual third party authority form
  3. A completed Macquarie Individual and Sole Traders Identification form
  4. A certified copy of ID for the new trustee/s.

Corporate trustee

To add a corporate trustee, or change from an individual to corporate trustee, you need to provide all of the following documents via Request Centre

  1. A certified copy of the amended Trust Deed that confirms the change in trustees and is executed by all of the new and resigning trustees
  2. A completed Macquarie Australian Companies Identification form. Please ensure all required sections of the form are filled out, including source of wealth and business activity.
  3. A completed Individual and Sole Traders Identification form for the new incoming directors
  4. A certified copy of ID for the new incoming directors (e.g. Australian driver’s license or passport)
  5. A completed Individual Third Party Authority form signed by the new Directors, including any additional documentation requested for the authority selected.
  6. If the beneficial owners have changed, we’ll also require a completed Beneficial Owner Identification form

How do I change the office holder or controlling parties on an incorporated association or body?

To change the controlling signatories, you need to provide the following documents via Request Centre:

  1. A completed Individual Third Party Authority form
  2. A copy of meeting minutes signed by at least 2 of the current signatories. These minutes must confirm:
    • removal of old signatories
    • appointment of new signatories
    • the new signatories’ roles
    • signing instructions for the account.

If the controlling signatories are new Macquarie clients, you also need to provide the following documents via Request Centre:

  1. A completed Macquarie Individual and Sole Traders Identification form
  2. A certified copy of ID for the new controlling signatories.

What if all current signatories on the account are no longer available?

If the signatories are no longer available to sign, please obtain a formal delegation authority document on behalf of the organisation. This is typically available for larger associations.

Does the individual need to be listed on the ACNC register?

If the association is a registered charity, the Australian Charities and Not-for-profits Commission (ACNC) register is used to determine the officeholders. Therefore, it’s ideal for the individual to be listed on the ACNC register.

If an individual is not listed on the ACNC register, you can:

  • provide meeting minutes signed by two current signatories, to determine account roles and responsible persons if appointing controlling signatories, or
  • appoint an employee or representative via a completed Individual Third Party Authority form. Please note, this would be an authorised signatory not a controlling signatory.
